1. Who we are

This website is operated by The Ops Engine: a consultancy founded and led by Benjamin Beaupierre, based in Dunstable, United Kingdom. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, The Ops Engine is the data controller for any personal data you provide to us.

You can contact us about anything in this policy at ben@theopsengine.com.

2. What this policy covers

This policy explains what personal data we collect when you visit theopsengine.com, contact us, book a clarity call, or engage us for consulting work, how we use that data, who we share it with, how long we keep it, and the rights you have over it.

3. The personal data we collect

  • Contact details you give us: your name, email address, company, role, and anything else you choose to share when you book a clarity call, send us an email, or fill in a form on this site.
  • Engagement information: notes, documents, and operational data you share with us during a clarity call or a paid engagement.
  • Technical data: limited information your browser sends automatically, such as IP address, device type, browser, referring page, and pages viewed. We use this only to keep the site secure and to understand which pages are useful.
  • Cookies: this site uses only essential cookies required for the site to function. We do not run advertising or cross-site tracking cookies.

4. How we use your data

  • To respond to enquiries and arrange clarity calls.
  • To deliver and administer consulting engagements you have asked us to provide.
  • To send occasional follow-up correspondence directly related to our conversations.
  • To meet legal, accounting, and tax obligations.
  • To keep this website secure and improve how it works.

5. Legal bases

We process your personal data under one or more of the following legal bases:

  • Contract: to take steps at your request before entering a contract, or to perform a contract you have with us.
  • Legitimate interests: to run our consultancy, respond to enquiries, and keep this site secure.
  • Legal obligation: to comply with UK tax, accounting, and other regulatory requirements.
  • Consent: where you have explicitly opted in, for example to receive specific written material from us.

6. Who we share data with

We do not sell your personal data. We share it only with trusted service providers that help us operate the business, for example, email, calendar, hosting, file storage, and accounting providers, and only to the extent needed for them to provide that service. Where those providers process data outside the UK, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or equivalent.

We may also disclose data where required by law or to protect our legal rights.

7. How long we keep your data

We keep enquiry correspondence for up to 24 months after our last contact. Records relating to paid engagements are kept for at least 6 years after the engagement ends, in line with UK tax and accounting requirements. We then delete or anonymise the data.

8. Your rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • request deletion of your data, where applicable;
  • restrict or object to certain processing;
  • request portability of data you provided to us;
  • withdraw consent at any time, where processing relies on consent.

To exercise any of these rights, email ben@theopsengine.com. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

9. Security

We take reasonable technical and organisational measures to protect personal data against loss, misuse, and unauthorised access, including encrypted storage, access controls, and reputable service providers. No system is perfectly secure, but we treat client data with the same discretion we expect of ourselves.

10. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top of the page will always reflect the most recent version.
